Duties and responsibilities of office bearers of the
Trust:-
a)
Duties and
responsibilities of the president:-
i)
Founder
President of Gujarati Vikas Manch Jasmin Shah will be
president of the Manch forever. He will preside over all the
meetings of executive and general body meetings.
ii)
Founder
President Jasmin Shah will monitor working of the trust and
give guidance.
iii)
Founder
President will take care of smooth functioning of the trust
and see that working of the Trust is according to the
constitution.
iv)
When
necessary, he will guide the executive and general meetings
and also give rulings.
v)
If for a
certain reason, voting on any issue is held president will
have one extra (and decisive) vote.
vi)
President
will sign all the minutes books. When yearly expenditure
report is prepared president will sign it, and passed with
majority.
vii)
If any
member does unruly behavior in any meeting of the trust
preside will have authority to order him to quit. If the
need be arise, he will have power to cancel the meeting.
viii)
President
will have power to raise any issue beyond executive agenda.
ix)
He will be
present in all the meetings of the trust.
b)
Duties and
responsibilities of the Vice-President:-
I)
In
accordance with the constitution of the Gujarati Vikas
Manch, Vice-President will monitor day to day working of the
trust.
II)
He will
call executive body meeting minimum once in three months. He
will send circulars, fix meeting venues, do other such works
according to president’s instructions.
III)
He will
prepare minutes book of executive as well as general body
meetings and placed them before the future meetings of the
same.
IV)
He will do
all the correspondence of the trust and day to day routine
work of the trust.
V)
He will
keep Central executive body well inform about administrative
working of the trust and present whatever correspondence is
done on behalf of the trust.
VI)
He will
monitor workings of the various sub committees appointed by
the Central executive committee ask for and inspect Balance
– Sheets and work report.
VII)
He will buy
stationary and other necessary office items and take written
or oral permission from President Jasmin Shah for the same.
VIII)
He will
keep records of the resolutions made by the Central Board of
Trustees.
IX)
He will
take permission from the president in regards to the public
announcements of the trust and in tandem with P.R.O. release
the same to the press.
X)
He will
work for the effective implementation of the aims and
objective of the trust.
XI)
He along
with his subordinates work for the smooth functioning of the
trust.
c)
Duties and
responsibilities of the secretary:
I)
In absence
of General Secretary he will function as a General
Secretary.
d)
Duties and
responsibilities of the treasurer appointed by the
president:
I)
He will
properly maintain Balance – Sheet of Gujarati Vikas Manch
Central Board accounts.
II)
Accept
donations and gifts and give receipts for them with the kind
permission of president.
III)
Prepare
yearly budget of the trust and present it in Central Board
meetings and see that it is passed.
IV)
Prepare all
expenditure bills, present them in Central Board meetings,
get them passed and take signature of president Jasmin Shah
and other office bearers on the same.
V)
See that
every bill is presented before office bearers of the Central
Board.
VI)
Collect
dues of Gujarati Vikas Manch and if needed take help of
Central Board members to fulfill the task.
VII)
Treasurer
appointed by President Jasmin Shah will be given power to
keep Rs. 25,000/- (Rupees Twenty Thousand only) cash with
him on any given time. Whatever above this amount is donated
to trust will be deposited in bank account and treasurer
will have to inform founder president Jasmin Shah about it.
VIII)
Treasurer
is bound to show bank Pass-Book and other trust documents to
President Jasmin Shah and other office bearers of the
Central Board.
IX)
At the end
of the year, treasurer will have to prepare final report of
the total income and expenditure of the trust and will have
to present it to Central Board of the trust and see that it
is passed and audited.
X)
If for any
reason president removes the treasurer and appoints new
treasurer, ex-treasurer will have to submit all the
documents under his possession like cheque books, passbooks
etc. to the newly appointed treasurer.
XI)
In absence
of the treasurers, the new appointee by the president will
have all the powers of the treasurer accept to sign any bank
documents like cheque etc.
XII)
If
President Jasmin Shah appoints assistant treasurer to help
the treasure both will work in tendon.
